Looking up student addresses by advisor code or major code

To search for student email addresses, you first need to follow the instructions here.

This document will give you instructions on searching for students by their advisor code, major code, or 2nd major code. You must be aware of the following assumptions:

  • The state field in the LDAP address book now holds the student’s numeric advisor code.

  • The telephone field in the LDAP address book now holds the student’s numeric major code.

  • The fax field in the LDAP address book now holds the student’s numeric 2nd major code (for dual majors only.)

1. Starting at step # 5 from this document, we have to modify the available search fields. You can choose whichever fields you like, but only 4 can be selected at one time as search fields. Below I have selected mail (email address), sn (last name), st (state now contains advisor code), and telephonenumber (now contains the major code). Click OK to make the change.

2. Now when a search is performed, the State and Telephone fields are available as search options. Before starting your search, you will want to change the condition on each of these fields from >= (begins with) to = (is). To start narrowing my search, I have performed a search for students with an advisor code of 0183. After entering the advisor code, click on the Retrieve button to start the search.

3. Next I have specified a major code of 5105 to find students in a specific major with the same advisor. Click on Retrieve again to start the search. Notice that the number or matches has narrowed from 21 in the screenshot above to 11 in the screenshot below. If you want to save the resulting list of students as a group, see the instructions in this document starting at step # 8.
