How to look up student email addresses using LDAP

These instructions will also show you how to save a group of students as an email group in your address book.
1. Within the GroupWise software, open the Address Book by clicking on Tools, then Address Book. Find the tab named “Novell LDAP Address Book”. Select it by clicking on it. Now click on the Directories button.
2. When the window pictured below appears, click the Add button. The next window to appear will ask you to name the new directory. Name it something like “Student Addresses”. Click on the Next button. Now you will be asked to enter the IP address of the directory server. Enter 204.185.19.29 as the Server Address and leave the Port value as the default. Click the Finish button.
3. Now select the new directory from the list and click on the Set as Default button. Now click on the Properties button.
4. From the Properties windows that appears, select the “Searching” tab. Change the Amount of time to search from 30 seconds to 3 minutes by adjusting the slide bar from short to long. Also adjust the Maximum number of matches to return from 100 to 999. Now click on the Search Fields button.
5. From the list that appears you can select up to 4 fields. Select cn (Display Name), givenname (First Name), mail (E-Mail Address), and sn (Last Name). Click the OK button, then click the OK button again on the Properties window. Click the Close button on the Internet Directory Accounts window.
6. Now you should be back to the Address Book window. Select the name of the directory that you just created (e.g. Student Addresses) from the drop-down box. The search fields that you selected earlier will now be available for your input. Next to each of the fields there is a button which allows you to set the conditions for each search field. The conditions are “Begins With”, “Contains”, or “Is”. Next to this is a text box for you to enter values you want to search on. For example, if you want to find all the students whose first name begins with “St” and last name begins with “Tes,” enter a “st” into the First Name box and a “tes” into the Last Name box. Now click the Retrieve button. It will take a few seconds to search the entire directory of students, then the results will be listed below. It will look similar to the screenshot below.
7. Once the directory of student addresses has been created in your address book, you will only need to repeat Step 6 above to find these addresses when you are composing a new message, for example. Furthermore, once you find the address you are looking for, you can copy it to your personal address book by right-clicking the address and choosing “Copy To…” Then it will be available for you to use without the need to search the LDAP directory.
